Professional Event Management Firm required for InCoB-2006

The Organizing Committee on behalf of IIT Delhi, JNU New Delhi and DBT, Govt. of India invites sealed technical tenders from Professional Event Management Firms to completely organize the 5th International Conference on Bioinformatics ( InCoB-2006 ) at New Delhi from 8 th to 11 th Nov. 2006 . Approximately 500 participants are expected from all over the world. The Firm must have proven record for successfully managing international conferences.

The sealed envelops marked as “InCoB-2006” may be submitted along with a bank draft of Rs. 500/- drawn in favour of Registrar IIT Delhi to Supercomputing Facility for Bioinformatics and Computational Biology (SCFBio), 3rd Floor, Synergy Building, IIT Delhi, Hauz Khas, New Delhi-16. Last date for receipt of technical bids is 21/11/2005 up to 3.30 pm .

What should the event manager submit in the technical tender?

Ans: The technical bid must contain :

       1. Firm profile and past experience.

       2. A Demand Draft of Rs. 500/- drawn in favour of Registrar IIT Delhi.

Ans: There will be a pre-bid meeting with firms, who have submitted the technical tenders tentatively scheduled for 29-11-2005 at SCFBio, IIT Delhi

What will be the responsibilities of the Event manager?

Ans: The following responsibilities must be performed by the event manager

a). Travel:

       1) Booking Air Tickets, Rail Tickets for selected participants.
       2) Arranging local transportation including:
             (i) AC Taxis for to and fro from the airport, railway station and bus stands to the lodging.
             (ii) Buses and AC taxis for to and fro from place of stay to conference venue.

b) Boarding and lodging spanning over 5star/3star and guest houses for scientist and students respectively.

c) Arranging Food and Beverages at the conference venue for the entire conference duration spanning over:

       1) Breakfast
       2) Pre lunch Tea/Coffee and Snacks
       3) Lunch – Buffet
       4) Evening Tea/Coffee and Snacks
       5) Cocktail and dinner - Buffet

d) Conference Venue Booking and arrangement

       1) Hall Booking, Audio Video & Presentation Equipment
       2) Furniture and sitting arrangement, decoration
       3) Internet access
       4) On-line Demos/workshops
       5) Conference Kit, Reading & Writing Material, Mementos, Designing and Printing of Brochures, posters,             advertisement etc
       6) Creation and maintenance of InCoB-2006 web site and online registration
       7) Arranging for sight seeing and cultural events
